By accessing and using RecruitOnline (“Service”, “Platform”, “we”, “us”, “our”), you accept and agree to be bound by these Terms of Service (“Terms”). If you do not agree to these Terms, you must not use the Service.
2. Description of Service
RecruitOnline is a recruitment and customer relationship management (CRM) platform that helps businesses manage candidates, clients, leads, and recruitment processes. The Service includes integration with third-party platforms, including Facebook, to facilitate lead capture and management.
3. Facebook Integration and Data Usage
3.1 Facebook Lead Ads Integration
RecruitOnline integrates with Facebook Lead Ads to automatically capture and manage leads from Facebook advertising campaigns. When you connect your Facebook account to RecruitOnline:
- Permissions Used: We request the following Facebook permissions:
leads_retrieval: To retrieve lead data from Facebook Lead Ads formspages_show_list: To display a list of Facebook Pages you managepages_read_engagement: To verify page access and retrieve page tokens
- Data Collection: When a user submits a Facebook Lead Ads form, we receive webhook notifications and retrieve the following data:
- Contact information (name, email, phone number)
- Custom form fields submitted by the user
- Campaign and ad information (if available)
- Timestamp of form submission
- Data Usage: Lead data retrieved from Facebook is used solely to:
- Create lead records in your RecruitOnline account
- Enable you to contact and manage leads from your Facebook advertising campaigns
- Provide CRM functionality within the RecruitOnline platform
3.2 Facebook Platform Compliance
- We comply with all Facebook Platform Policies and Terms of Service
- We only use Facebook data for the purposes explicitly authorised by you
- We do not share Facebook data with third parties except as necessary to provide the Service
- We respect user privacy and comply with applicable data protection laws
- We provide mechanisms for users to request data deletion in accordance with Facebook’s requirements
3.3 Your Responsibilities
When using Facebook integration features, you agree to:
- Only connect Facebook accounts and Pages that you own or have authorisation to manage
- Comply with Facebook’s Advertising Policies and Lead Ads Terms
- Obtain necessary consents from users before collecting their data through Lead Ads forms
- Use lead data in compliance with applicable privacy laws and regulations
- Not use the Service to send spam or unsolicited communications
4. User Accounts and Access
4.1 Account Creation
To use the Service, you must:
- Provide accurate, current, and complete information
- Maintain and update your information to keep it accurate
- Maintain the security of your account credentials
- Notify us immediately of any unauthorised access
4.2 Account Responsibility
You are responsible for:
- All activities that occur under your account
- Maintaining the confidentiality of your account credentials
- All content and data you upload or create using the Service
- Compliance with all applicable laws and regulations
5. Data Processing and Privacy
5.1 Data Controller
RecruitOnline Holdings Pty Ltd is the data controller for personal data processed through the Service. For Facebook Lead Ads data, we act as a data processor on your behalf, and you remain the data controller for leads generated from your advertising campaigns.
5.2 Data Storage and Security
- We implement appropriate technical and organisational measures to protect your data
- Data is stored securely and accessed only by authorised personnel
- We comply with applicable data protection laws, including GDPR where applicable
5.3 Data Retention
- Lead data is retained for as long as your account is active
- You may delete leads at any time through the Service
- Upon account termination, data may be deleted in accordance with our data retention policies
6. Acceptable Use
You agree not to:
- Use the Service for any illegal or unauthorised purpose
- Violate any laws, regulations, or third-party rights
- Send spam, unsolicited communications, or engage in phishing
- Interfere with or disrupt the Service or servers
- Attempt to gain unauthorised access to any part of the Service
- Use automated systems to access the Service without authorisation
- Reverse engineer, decompile, or disassemble any part of the Service
7. Intellectual Property
7.1 Our Rights
The Service, including all content, features, and functionality, is owned by RecruitOnline Holdings Pty Ltd and protected by copyright, trademark, and other intellectual property laws.
7.2 Your Content
You retain ownership of all content and data you upload or create using the Service. By using the Service, you grant us a license to use, store, and process your content solely to provide the Service.
8. Third-Party Services
The Service may integrate with third-party services, including Facebook. Your use of third-party services is subject to their respective terms of service and privacy policies. We are not responsible for the practices of third-party services.
9. Limitation of Liability
To the maximum extent permitted by law:
- The Service is provided “as is” and “as available”
- We do not warrant that the Service will be uninterrupted, error-free, or secure
- We are not liable for any indirect, incidental, special, or consequential damages
- Our total liability is limited to the amount you paid for the Service in the 12 months preceding the claim

You agree to indemnify and hold harmless RecruitOnline Holdings Pty Ltd, its officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses arising from:
- Your use of the Service
- Your violation of these Terms
- Your violation of any third-party rights
- Your violation of any applicable laws or regulations
11. Termination
11.1 By You
You may terminate your account at any time by contacting us or using the account deletion features in the Service.
11.2 By Us
We may terminate or suspend your account immediately if:
- You violate these Terms
- You engage in fraudulent or illegal activity
- Required by law or regulatory authority
- You fail to pay fees (if applicable)
11.3 Effect of Termination
Upon termination:
- Your access to the Service will cease
- We may delete your account and data in accordance with our data retention policies
- Provisions that by their nature should survive will remain in effect
12. Changes to Terms
We may modify these Terms at any time by:
- Posting updated Terms on our website
- Notifying you via email or through the Service
- Your continued use of the Service after changes constitutes acceptance
13. Governing Law and Jurisdiction
These Terms are governed by the laws of Australia. Any disputes arising from these Terms or the Service will be subject to the exclusive jurisdiction of the courts of Australia.

Lead data retrieved from Facebook Lead Ads:

- Is not shared with third parties except as necessary to provide the Service
- Is stored securely and accessed only by authorised users
- Can be deleted upon request in accordance with applicable laws
